This Privacy Policy explains how Modern Monclaire (“Modern Monclaire,” “we,” “us,” “our,” or the “House”) collects, uses, discloses, and safeguards personal information when you use our website, forms, and related services (collectively, the “Site”). By using the Site, you consent to this Policy.

1) Who we are and what this covers
Modern Monclaire is a museum-level editorial house devoted to honoring, preserving, and showcasing women’s rituals, legacies, and craft—and how women shape modern culture. This Policy covers personal information we handle through the Site, including: contact forms (e.g., Request Allocation, Underwriting Conversation, Contact), Press & Partners interactions (including Press Vault), email automations, analytics, and shipping or invoicing details for allocated items. It does not limit rights and responsibilities set out in our Terms & Conditions.

2) The information we collect
We collect information in three ways: directly from you; automatically from your device and interactions; and from service providers or public sources.

A. Information you provide directly

  • Contact and identity data: name, email, city or country, organization/maison, role, phone (optional).

  • Business context: publication or company for press access; notes you submit (story angle, deadlines, purpose).

  • Allocation and underwriting: invoicing entity, delivery city/country, wire remittance confirmations you share, and any correspondence related to allocation, underwriting, or rights.

  • House List / communications: your email and preferences if you opt in to receive updates.

  • Corrections: sources or evidence you send for our Verification Ledger.

B. Information collected automatically

  • Technical data: IP address, device and browser type, operating system, language, pages viewed, time on page, referring/exit pages, approximate location derived from IP.

  • Interaction data: clicks on buttons/links (e.g., Request Allocation), form submission times, Press Vault access attempts.

  • Cookies and similar technologies: essential cookies for site operation; basic analytics cookies for understanding site performance. See “Cookies & similar technologies” below.

C. Information from service providers and public sources

  • Service providers: our website platform, email service, cloud storage, and analytics providers may supply logs or limited diagnostic data.

  • Public sources: public records, catalog entries, or institutional archives relevant to editorial verification.

We do not collect payment card numbers on the Site. Allocation is by bank wire; we may store remittance confirmations and shipping details for order administration and fraud prevention.

3) How we use information (purposes of processing)
We use personal information to:

  • Operate the Site and provide services you request (responding to forms; creating or reviewing allocation and underwriting requests; delivering support).

  • Administer allocation (review requests, issue invoices, confirm shipping windows, manage dispatch, handle after-sales issues).

  • Protect security (detect fraud and spoofing; verify Press Vault access; monitor abuse and scraping attempts).

  • Maintain editorial integrity (evaluate proposed corrections; post accepted changes to the Verification Ledger).

  • Run communications (send confirmations and necessary operational emails; send optional updates if you opt in).

  • Comply with law (tax, accounting, recordkeeping, lawful requests).

  • Improve the Site (basic analytics, troubleshooting, and quality assurance).

We do not use personal information for automated decision-making that produces legal or similarly significant effects.

4) Legal bases (EEA/UK visitors)
Where applicable, we process personal information under:

  • Contract/steps prior to contract (responding to allocation or underwriting requests).

  • Legitimate interests (running and securing the Site; managing Press Vault access; maintaining the editorial record and Verification Ledger; communicating with interested parties).

  • Consent (optional email updates; non-essential cookies where required).

  • Legal obligation (tax, accounting, and compliance).

Editorial publications may rely on exemptions or legitimate interests that limit certain rights when necessary to protect editorial integrity, verification processes, and historical record.

5) Cookies & similar technologies
We use:

  • Essential cookies (site functionality, security).

  • Basic analytics (aggregated stats such as page views and referrers).
    Your browser may allow control or blocking of cookies. If you block essential cookies, the Site may not work correctly. We do not knowingly engage in cross-context behavioral advertising.

6) Disclosure of information
We disclose personal information only as needed to:

  • Service providers: website host, email and automation vendors, cloud storage, analytics, shipping/logistics consultants. These providers are bound to use data only to provide services to us.

  • Compliance and safety: law enforcement or regulators where legally required; to enforce our Terms; to investigate or prevent fraud or security issues.

  • Business events: if we undergo a reorganization or similar event, information may transfer consistent with this Policy.
    We do not sell or “share” personal information for cross-context behavioral advertising. We do not provide personal information for AI training or data-broker resale.

7) How long we keep information (retention)
We retain personal information only as long as necessary for the purposes above, including to comply with legal, accounting, or reporting requirements. Typical periods:

  • Operational records (forms, allocation/underwriting correspondence, shipping): up to 7 years from last activity, or longer if legally required.

  • Press Vault requests and access logs: up to 2 years for security and rights management.

  • House List (email updates): until you unsubscribe or request deletion.

  • Editorial records and Verification Ledger: retained indefinitely as part of the public record and to preserve editorial integrity.

8) Your choices and rights
Depending on your location, you may have rights to access, correct, delete, or obtain a copy of your personal information, and to object to or restrict certain processing.

  • How to submit a request: email [privacy@modernmonclaire.com] or use the Contact form. Tell us what you’re asking for and provide enough detail to locate you in our systems. We may ask for reasonable verification of identity.

  • Editorial carve-out: where information appears in our editorial record (e.g., The Index, House Ledger, Verification Ledger), requests may be limited when rights would impair journalistic or archival integrity. We will consider corrections through our Verification Ledger process.

  • Marketing opt-out: you can unsubscribe from optional emails at any time via the footer link or by contacting us.

  • Non-discrimination: we will not discriminate against you for exercising privacy rights permitted by law.

9) California residents (CPRA) — Notice at Collection
Categories collected: identifiers (name, email), commercial information (allocation interest, invoicing entity, shipping city/country), internet activity (log data), professional information (publication/company for press), and limited inferences related to security (e.g., abnormal access).
Purposes: as set out in Section 3.
Retention: as set out in Section 7.
Selling or sharing: we do not sell or share personal information for cross-context behavioral advertising.
Sensitive personal information: we do not seek to collect sensitive categories; if received incidentally (e.g., on a form), we do not use it to infer characteristics.
Your rights: access, deletion, correction, portability, opt-out of sale/share (not applicable), and limit use of sensitive information (not applicable). Submit requests as described in Section 8.

10) Children’s privacy
The Site is not directed to children under 13 (or the age of digital consent where you live). We do not knowingly collect personal information from children. If you believe a child has provided personal information, contact us and we will take appropriate steps.

11) Security
We use reasonable administrative, technical, and physical safeguards to protect personal information, including access controls, password protections, and provider security features. No system is perfectly secure; we cannot guarantee absolute security. You are responsible for the security of your devices and for verifying wire instructions through trusted channels. We will never change bank details by text or social message.

12) International transfers
We may store or process information outside your state, province, or country (for example, with cloud providers in the United States or elsewhere). Where required, we rely on appropriate safeguards such as Standard Contractual Clauses or provider certifications.

13) Press Vault and image rights specifics
When you request Press Vault access, we use your details to assess eligibility and to administer access. We may log access and downloads to protect rights and enforce permitted editorial use. Vault assets must be used with correct credit and captions; commercial use requires written permission. 14) Editorial record, corrections, and the Verification Ledger
For accuracy, you may propose factual corrections with reputable sources. Accepted corrections are logged publicly in the Verification Ledger with date, initials, and evidence reference. This process helps preserve the integrity of the editorial record while accommodating documented updates.

15) Do Not Track; signals
Your browser may send “Do Not Track” signals. Because there is no prevailing industry standard, the Site does not respond to these signals. You may manage cookies in your browser settings.

16) Third-party links
The Site may link to third-party websites or services. Their privacy practices are their own. Review their policies; we are not responsible for them.

17) Changes to this Policy
We may update this Policy from time to time. The “Effective Date” shows when it was last revised. Significant changes will be posted on the Site. Your continued use after changes means you accept the updated Policy.

Annex: Summary of data categories, purposes, and typical retention

  • Identifiers (name, email, IP): service delivery, communications, security; retain as in Sections 7–8.

  • Business/professional info (organization, publication): press access, underwriting, allocation; retain up to 7 years from last activity.

  • Commercial/admin info (invoicing entity, shipping city/country, remittance confirmation): allocation administration and compliance; retain up to 7 years or as required by law.

  • Internet/activity logs (pages, referrers, timestamps, approx. location): security, abuse prevention, analytics; retain up to 24 months, shorter where feasible.

  • Editorial submissions/corrections: accuracy and recordkeeping; retained as part of the editorial archive and Verification Ledger.

We will never change bank details by text or social message. If anything seems off, write to us through the Site before sending funds.
